This guide describes the Employments view in the Job architecture – here you can see information about your employees and link them to the right job profile.
Employments
The view has three tabs:
Copilot – new or updated employments that need to be handled
Unassigned – employments that do not have a linked job profile
All – all employments, both linked and unlinked
The Copilot tab
Suggestions for new employments
Here you can see employments who are new to the system – either because they have not been included before or because they have a new unique ID or employment number. The system suggests which job profile they might belong to.
If the suggestion is correct:
1. Click Assign to job profile.
If the suggestion is not correct:
1. Click Other actions.
2. Click Browse job profiles, or dismiss the suggestion if no job profile fits.
3. Select the job profile that suits the employment.
Job profiles with updated employees
Here you can see job profiles that contain employments where one of the monitored fields has been updated. You need to decide whether the employment should remain in its current job profile or be moved.
You can manage each employment via Other actions:
Dismiss the suggestion – the employment remains in its current job profile
Move to Unassigned – the employment is unlinked and you assign a new job profile manually
Browse job profiles – switch directly to a different job profile
💡 Tip: Click Edit visible fields to choose which information you want to see about the employee in the table.
Monitored fields
Here you can see which fields are enabled for monitoring. To change or add more monitored fields:
1. Click the gear icon Edit monitored fields.
⚠️ Important: For monitoring to work in Copilot, you need to have activated the fields you want to monitor before importing a salary file with updated data.
The Unassigned tab
Here you can see all employments that do not have a job profile linked to them. Link them to a job profile:
1. Check the employments you want to move.
2. Move the selected employments to one of the suggested job profiles shown in the list on the right, or click All job profiles to select a different option.
Filter and Search function
💡 Tip: If you have a large group to move, you can filter or search in the top left. Filter by job title, for example, to bring up all employments with the same job title and move the entire group at once.
You can also group the employments to make it easier to move a larger group to the right job profile. Select grouping:
Position title – grouped by job title
Statistical code – grouped by statistics code
Form of Employment – grouped by employment type
Legal entity name – grouped by legal entity
Legal entity code – grouped by legal entity code
Country – grouped by country
Locality – grouped by city
Contract – grouped by agreement
Manager code – grouped by manager code
Salary type – grouped by pay type
Organisation level 1–6 – grouped by organisation level, depending on how you have imported your structure
Modify columns
Click Modify columns in the top right to choose which columns are displayed in the table. The columns have a drag and drop function so you can easily rearrange them. Click a column heading to sort from lowest to highest value, or from A to Z.
The All tab
Here you can see all employments – both those linked to a job profile and those without a link. You can link unlinked employments and move existing employments to a different job profile.
1. Check the employments you want to move.
2. Move the selected employments to one of the suggested job profiles shown in the list on the right, or click All job profiles to select a different option.
Filter and Search function
💡 Tip: Use the search function to quickly find a specific employee.
You can also group the employments. Select grouping:
Position title – grouped by job title
Job profile – grouped by job profile
Job family – grouped by job family
Statistical code – grouped by statistics code
Form of employment – grouped by employment type
Legal entity name – grouped by legal entity
Legal entity code – grouped by legal entity code
Country – grouped by country
Locality – grouped by city
Contract – grouped by agreement
Manager code – grouped by manager code
Salary type – grouped by pay type
Organisation level 1–6 – grouped by organisation level, depending on how you have imported your structure

Edit information about an employment
It is not possible to edit information or data about an employment directly in the job architecture. To update details about an employee, you need to do this via Employee Management.
If you need to update pay data or other data for a larger number of employees, we recommend importing a new salary file – this is the fastest way to handle large amounts of data.
