Import a salary file in Sysarb

A step-by-step guide on how to import a salary file in Sysarb. Salary file, import.

This guide describes how to import a salary file in Sysarb, step by step. Follow the steps in order – you can always go back and correct a step if something needs to be adjusted.

If you prefer not to do the import yourselves, Sysarb can help you for a fee:

  • 0–2,500 employees: SEK 1,500

  • 2,500–5,000: SEK 3,000

  • 5,000–10,000: SEK 4,500

  • 10,000–20,000: SEK 6,000

  • 20,000+: SEK 7,500

Step 1 – Import data via file import

1. Go to the Import data tab in the system.

2. Click on File import to start the import of the salary file.


Step 2 – Choose preferences

1. If you use a Swedish personal identity number as the unique ID, check the option Fetch gender and date of birth from unique ID

2. If you instead use an employee number or another unique ID, you do not need to check this option.

3. Select the date format used in your salary file.

4. Select how the organizational structure is set up in the salary file.
The most common option is Organization levels – choose this if you have multiple organizational levels in the file.

5. Select which module the data should be imported into.
If you are importing data to the job architecture or pay equity audit, select Pay equity audit.

6. Watched fields - After you import data into Sysarb we’ll look if any of the watched fields have been updated for your employees. All employees with updates will be compiled into a to-do list where you can review their assigned job profiles. Klick on Edit watched fields to chose your fields.

7. Click Continue at the bottom right.


Step 3 – Choose salary file

1. Click on the file upload box.

2. Select the salary file from your computer or drag and drop the file.

3. Click Continue.

⚠️ Important: The file must be saved in CSV (UTF-8) format to be imported correctly in the system.


Step 4 – Map columns

Here you map the columns in your salary file with the columns used in Sysarb.

  • Your headers = the column headers in your salary file (shown on the left)

  • Sysarb's headers = the column headers in the system (shown on the right)

1. Map the columns by clicking on the blue checkmark next to the suggestion on the right side. The mapping will then move to the bottom left under the header Has mapping.

2. If a field is not correctly mapped, or if the system does not suggest a mapping, map the field manually by selecting the correct Sysarb header.

3. When all fields are mapped, click Continue at the bottom right.

⚠️ Important: If all fields are not correctly mapped, or if there are fields without a mapping, the Continue button will not be available.

💡 Tip: You can search for the mapping name in the search box instead of scrolling through the dropdown menu.


Step 5 – Validate values

Here the system checks that all values in the file have the correct format.

1. If any value has an incorrect format, an error message is shown in a grey row.

2. Click on the row or the arrow to see which value needs to be corrected. The system also shows which row in the Excel file needs to be changed.

3. In this example, it is row 3, where the system shows that the employment date needs to be corrected.

4. Go back to the Excel file, correct the value and save the file again in CSV (UTF-8) format.

5. Click Supplement CSV and upload the updated file.

6. When all values are approved, click Continue.


Step 6 – Review

The last step is to review the import before it is carried out. Here you confirm any changes the import will make in the system.

1. Recommended mappings are missing

If you have already selected the fields you want to use in the salary file, you can click Continue without recommended fields.

2. Save historical data

Click Save historical data if you want to keep previous data for employees already in the system. If you only want to correct or overwrite existing data, select Do not save historical data.

3. Employees are missing from the file

If there are employees in the system that are not included in the salary file, the system will ask whether these should be disabled.

💡 Tip: Disable employees if they have left the company. You can open a list of which employees are affected.

4. New employees

If the salary file contains employees who have not previously been in the system, you need to approve that they are imported. Click Import XX new employees. Here too you can see a list of which employees are affected.

5. New statistics codes or organization nodes

If the file contains new statistics codes or organization nodes, you need to approve that these are created in the system. You can open a list of which codes or nodes are affected.

6. Start import

When you have reviewed and approved all steps, click Start import at the bottom right.

Done! The salary file is now imported in the system.
