Managing Former Employees and Personal Data
There is no automatic data retention or deletion functionality in the system. As an administrator, you are responsible for managing employees who should no longer be active in the system. This can be done on an individual basis by deactivating, anonymizing, or deleting the employee.
We do not recommend deleting employees, as this permanently removes historical data. Deletion affects previous pay equity analyses, conversation history, and salary review data, making it impossible to track changes over time.
When a new salary file is imported, employees who existed in previous imports but are no longer included in the new file are automatically deactivated. No data is deleted from the system.
Retaining employees from previous pay equity analyses is important to enable historical comparisons and track developments over time.
If you need to anonymize personal data, this service can be ordered from Sysarb for an additional fee. Anonymization can be performed in selected pay equity analyses as well as in Employee Management. Please note that gender and salary data are always retained as part of the anonymization process.
Deactivating an Employee
When an employee leaves the organization, we recommend deactivating the employee rather than deleting them. Deactivation does not affect previous pay equity analyses or historical data.
To deactivate an employee:
Go to Employee Management.
Search for the employee.
Select Deactivate.
Deleting an Employee
Deleting an employee removes them from the system and affects:
Previous pay equity analyses
Conversation history
Salary reviews
Historical comparisons
For this reason, deletion should only be used when there is a specific need to permanently remove the employee's data.
