The different steps of job architecture

To activate and set up your job architecture, refer to these guides.

When your job architecture is initiated, the work of structuring job profiles, job families, and evaluating begins.

Overview

The first thing you see when you enter is an overview of your structure in the job architecture. Here, you will see all your job families and the levels at which they are placed.

If you click on a job profile, you will get information about the specific job profile, such as evaluation, pay range, and the ability to generate or manually add a job description.

Job Profiles

Under the "Job Profiles" tab, you can easily place your job profiles into the correct job family by clicking on the job family in the corresponding row of each job profile.

You can select multiple job profile to edit job family.

Evaluation

Under the "Evaluation" tab, you work on evaluating the 10 different factors for your job architecture.

To evaluate a job profile, click on the selected factor level. On the right, you'll see the description.

If you hover over a factor level with your mouse, the description will also appear.

If you accidentally clicked the wrong level or need to change it, you can easily correct it by clicking on the correct level.

Pay ranges

In the "pay Ranges" tab, you can enter pay ranges by clicking on the respective minimum and maximum for the different levels.

If you have other countries included, you can easily add those countries by clicking the "Add Country" button in the top right corner.

Employments


The Employments tab contains three sub-tabs: Co-Pilot, Unassigned, and All.

Co-Pilot

Suggestions for new employments

When you click on New employments, a page appears with groups of employees who have new employments. These groups are created based on Position and/or Statistical code.

  • To assign all employees in a group, click the blue button "Assign x (number of employees) to x (job profile)".

  • To assign individual employees, check the box next to their name and then click the blue button "Assign x (number of employees) to x (job profile)".

If you want to move one or more employees to another job profile, click on Other actions and choose either Reject suggestion or Browse other job profiles.

Job profiles with updated employees

This tab lists employees who have updated information in the monitored fields. Here, you can choose to either approve the changes in their job profile or keep the existing job profile.

To change settings for which fields Co-Pilot should monitor:

  • Click the login icon at the bottom left.

  • Select Settings and go to the Co-Pilot tab.

  • Here, you can choose which fields to monitor.

Unassigned

The Unassigned tab lists all employees who do not yet have an assigned job profile.

On the right side, you can assign a job profile either through Suggestions or by browsing under All job profiles.

To assign a job profile to an employee:

  • Check the box next to the employee's name.

  • Click Assign under the selected job profile.

All

The All tab displays all employments, regardless of whether they have a linked job profile or not.

Here, you can also assign or change a job profile by:

  • Checking the box next to the employee’s name.

  • Clicking Assign under the selected job profile.


Other functions

When you’ve made changes to your job architecture, you can choose to publish them.

If you regret a change, you can restore the previous state using the option in the top right corner.

You will now see what will be published or restored since the last publication, and you can add a comment to the update. Click the arrow next to the change title to view the details of the change and who made it.

Finally, click Publish or Discard changes at the bottom right.

By clicking on the three dots in the top right corner, you can export a summary report and the factor plan, as well as create a salary mapping based on your job architecture.

You can also see when the job architecture was last published and click on Edit to continue working on your job architecture.
