Your Data in Sysarb – Important Information
Sysarb is a SaaS solution that provides access to and management of your organization's data. As a customer, you retain ownership of your data and are responsible for maintaining, managing, and deleting it in accordance with your internal policies and procedures.
Data Retention
Data used in pay equity analyses often has long-term value, as historical information enables year-over-year comparisons and supports the analysis of trends over time. We therefore recommend that you establish clear internal routines for data retention and document these as part of your GDPR and records management processes.
As the data controller, your organization is responsible for determining how long personal data should be retained.
No Automatic Deletion
Sysarb does not automatically delete employee data.
When a new salary file is imported, employees who are no longer included in the file are automatically deactivated rather than removed from the system. This ensures that historical pay equity analyses and reporting remain intact.
Anonymization of Employee Data
If an employee requests anonymization, or if your organization chooses to anonymize data for former employees, this can be done manually for each individual employee. We recommend including this process in your internal GDPR procedures.
To preserve the integrity and comparability of historical analyses, certain key data points should remain in the system, such as:
Date of birth
Gender
Salary information
Personal identifiers, such as names, can be replaced with fictional values. If personal identity numbers are replaced with unique employee IDs, gender information must be entered manually to ensure accurate reporting and analysis.
Data Imports
As the owner of your data, you can manage data imports directly within Sysarb using our import functionality.
If you prefer Sysarb to perform the import on your behalf, this can be provided as an additional service and may be subject to a service fee.
