Kombo Integration Setup Guide

Overview

This guide walks through the steps required to set up a Kombo-based integration between your HR system (HRIS) and Sysarb. Kombo is a third-party integration middleware that connects directly to your HRIS via its native API, allowing employee data to sync automatically into Sysarb on a scheduled basis.


Before you begin

This guide is intended for customers who have already completed the integration assessment and confirmed that Kombo is the right integration path for their setup. If you are still exploring your options or have not yet completed an assessment, please refer to our integration assessment guidance before proceeding.

Important: If you already have data imported into Sysarb — for example from a manual file upload — make sure that the employee IDs in your HRIS match exactly what is already in the system. Mismatched IDs will cause duplicates. If an employee's ID changes, Sysarb will treat them as a new employee. In addition to creating a duplicate record, this will have a negative impact on historical pay equity analyses and employment record connections, as well as conversations (applicable to Pay Management clients).


How it works

  1. You authorise Kombo to connect to your HRIS from within the Sysarb interface

  2. Kombo retrieves employee data from your HRIS on a schedule

  3. Sysarb imports the data into your domain


Prerequisites

Before setup can begin, confirm the following:

  • You have admin access to your HRIS — or someone with admin access is available to support the setup

  • Your HRIS subscription plan includes API access — check with your HRIS vendor if unsure

  • There are no IT security or procurement blockers to connecting via a third-party middleware (see Kombo's Trust Center for security and compliance details)

  • You have a clear picture of which fields you plan to use in Sysarb

Note: If you are unsure which fields you need, the salary file template provides guidance through required and recommended flags, and your Sysarb customer success contact can help guide you during your implementation. We also recommend using the template as a reference sheet — noting the API field names from your HRIS alongside each Sysarb field. This will make the field matching steps in both Kombo and Sysarb significantly smoother.


Step 1 — Find the connection guide for your HR system

The steps required to authorise Kombo to access your HRIS vary depending on which system you use. Before starting, locate the guide for your system here:

Search for your HR system and review what is required before proceeding. Most systems require admin access and involve generating API credentials or authorising access via a login step.


Step 2 — Start the integration setup in Sysarb

In the Sysarb interface, navigate to Import Data via the side menu and select Integrations as your import method.

From the list of available integrations, find and select your HR system.


Step 3 — Authentication and field mapping in Kombo

You will be taken to a Kombo wizard that opens within the Sysarb interface.

The wizard covers two parts:

Authentication: Connect your HRIS to Sysarb via Kombo. The exact steps depend on your HR system — refer to the connection guide you found in Step 1. In general, you will either enter API credentials generated from your HRIS, or sign in directly to your HRIS via a Kombo-provided login flow.

Field mapping: Once authenticated, Kombo maps your HRIS fields to its standardised schema before they are passed to Sysarb. The scope of this mapping depends on which fields you are using — see the Prerequisites section for guidance on field selection. Standard fields are mapped automatically; fields outside the standard scope may require manual mapping.

Click Authenticate to confirm the connection. If successful, you will see a confirmation before continuing.

If authentication fails, double-check the credentials and ensure the user account has the required permissions as described in your system's connection guide.


Step 4 — Profile

On the Profile screen, you can optionally give this integration a title — useful if you have or expect to have multiple integrations set up. This can be edited later.

Click Continue.


Step 5 — Match fields

On the Match fields screen, you map the fields coming from your HRIS (via Kombo) to the corresponding fields in Sysarb.

  • The left column shows the fields available from your HRIS

  • The right column shows the Sysarb fields to map them to

  • A warning icon (⚠️) indicates a required field that has not yet been mapped

  • A green checkmark indicates a successfully mapped field

  • Clicking on a Sysarb field shows a Data preview on the right, including a description of what the field expects and a sample value

Note: The data preview requires the cache layer to be loaded. If you see a "Try again later" message, use the menu and select Refresh data. At initial setup there may be a short processing delay — this is expected. Try again after a few minutes.

Work through the list and match each field. If you need guidance on which fields are required vs. recommended, contact your Sysarb customer success contact or Sysarb support.

Once all available fields are matched, click Add integration.


Step 6 — Test run

Once you have completed field matching and clicked Add integration, contact your Sysarb customer success contact to initiate the test run. Sysarb will confirm that data is being received and processed correctly.

Your part in the test:

  • Review the imported data in Sysarb and confirm it looks as expected — employee records, field values, org structure

  • Flag any discrepancies in field mapping or data quality to your Sysarb contact

Any issues identified are resolved before the integration is marked as live.


Step 7 — Go-live

Once you have confirmed that the test data looks correct, let your Sysarb customer success contact know. They will mark the integration as live.

  • The integration runs automatically going forward, syncing data from your HRIS on a scheduled basis

  • Any changes to the field mapping or scope should be aligned with Sysarb in advance
